How to write a press release

To promote an event, send a press release to all the media outlets in your area. The media outlet can publish your event in a calendar section — or even better — may decide to do a feature article beforehand. For a Mother's Day event sample.

1. Write down the who, what, when, where, why and how of your event.
2. Draft the release and have two friends look it over for edits.
3. Send the release to as many media outlets and reporters as possible. Take note of the reporter writing articles about children and families.
4. Follow up with live humans (not voice mail) to be sure your information will be published.
5. Be persistent, convincing and VERY respectful.

Press Releases should include:

  (Put at the very top)
  FOR IMMEDIATE RELEASE:

Contact Name
Email & Telephone

Headline Be creative. One sentence. Use proper title case, capitalizing every word except for the following: of, it, the, a, an, from …

City, State, Month, Day, Year Grab their attention here. A strong introductory paragraph should cover who, what, when, where, why and how.

Put the body of your press release here. Describe the event including all the specifics and perhaps quotes from organizers.

The body of your press release should contain more than one paragraph. The second paragraph should state the goals and how your event is connected to a larger movement.
